Flowers in French – Terms and Conditions

Introduction

​

These Terms and Conditions set out the basis upon which Flowers in French (“we”, “us”, “our”) provide floral design services for weddings and events. By paying a booking fee to secure your event date with Flowers in French, you (“the client”, “you”) agree to the following terms.

​

1. Products and Services

1.1 Availability
All floral products are subject to seasonal availability. Flowers are natural products and as such, exact colours, varieties or sizes cannot be guaranteed. We reserve the right to substitute flowers, foliage or sundries with alternatives of equal or greater value and style without prior notice, if required due to availability.

1.2 Unavailability
If we are unable to fulfil your floral requirements in whole (due to supply chain issues, emergency, or other factors beyond our control), we will inform you as soon as possible and refund any monies paid (see also Section 7: Force Majeure).

1.3 Consultations
An initial consultation is complimentary and will be by appointment only. Once your date is secured with us, we will remain available via email or phone for ongoing support. We will have one final consultation 6 weeks before your event. Any further consultations may require an additional fee.

 

 

2. Prices and Payment

2.1 Quote Validity
Your bespoke floral quote is valid for 14 days from the date of issue. Prices given are based on current wholesale costs and may be subject to change if market prices increase significantly. Any such increases will be communicated clearly in advance.

2.2 Payment Schedule
- A non-refundable booking fee (typically £250 or as agreed) is required to secure your date.
- Final payment is due no later than 14 days before your event date.
- If full payment is not received by this date, Flowers in French reserves the right to cancel the booking without refunding any payments already made (including deposit).

2.3 Changes
- Minor amendments can usually be accommodated up to 3 weeks before the event. However, significant changes may incur extra charges or may not be possible if flower orders have already been placed. 

Any changes to the proposal once the quote has been accepted by the client can only be reduced by 20% or no less than the minimum spend, whichever is greater. Our current minimum spend is £1500, excluding delivery and set up fee, however this is subject to change.

 

 

3. Delivery & Set Up

3.1 Delivery Charges
Delivery and set-up are included within a local radius of Worcester. For venues further afield, mileage is charged at £0.45 per mile plus £10 per hour of travel time.

3.2 Client Responsibility
You are responsible for providing correct delivery details, including access times and contact information for venues. We cannot be held liable for delays or issues due to inaccurate or missing details.

3.3 Timing
Delivery and set-up times will be confirmed in advance. We will always aim to meet these times but cannot be held responsible for delays caused by unforeseen circumstances beyond our control.

 

 

4. Event Conditions

4.1 Set-Up
All flowers will be delivered and set up by Flowers in French unless otherwise agreed. For larger events, we may bring trusted assistants.

4.2 Responsibility Post-Delivery
Once flowers are delivered or set up, we are not responsible for their condition thereafter. This includes arrangements damaged by guests, weather, candles, catering staff, or venue mishandling.

4.3 Floral Exclusivity
Unless agreed in writing, Flowers in French must be the sole floral provider for your event. If you wish to add your own arrangements, please notify us however Flowers in French reserves the right to refuse. If it is agreed that the client can use another floral provider, Flowers in French is not responsible for any design clashes or quality issues.

4.4 Damage by Candles

Flowers in French can provide candles and candle holders, however we accept no responsibility for damage caused when lighting candles as it is usually the event staff who are responsible for lighting these.

​

4.5 Flowers in French holds no responsibility for flowers not being collected or worn once they have been left by our team at the relevant pre-agreed area.  Any oversight to correctly collect and, for example, pin on buttonholes on behalf of the wedding party as a whole, or by an individual, remains the responsibility of said wedding party.

​

4.6 Flowers repurposed without our assistance may not be guaranteed to remain in their original condition, and we accept no liability for their appearance thereafter.

 

 

5. Cancellations & Refunds

5.1 Cancellation Policy
If you wish to cancel your booking, please notify us in writing. Your booking fee is non-refundable. Further charges will apply as follows:
- 9+ months before event: Booking fee retained, no further payment required
- 6–8 months: Booking fee retained + £150 admin fee
- 3–5 months: Booking fee retained + 50% of total quote
- 1–3 months: Booking fee retained + 75% of total quote
- Within 4 weeks: Full payment required, no refunds

5.2 Force Majeure
In the event of unforeseen circumstances such as illness, extreme weather, or other force majeure, we will do our utmost to fulfil your order. If we are unable to do so, we will issue a refund for payments received, excluding the non-refundable booking fee.

 

 

6. Complaints

6.1 Procedure
If you are unhappy with any aspect of our service, please get in touch within 24 hours of your event.

6.2 Flower Care
We provide perishable goods. Care instructions will be provided upon delivery for how to store and care for your products and we ask that you fulfill this. We instruct that you keep flowers in a cool place, away from draughts, heat and fumes, and that you leave your flowers untouched until ready to use. It is the client’s responsibility to follow these to maintain freshness.

 

 

7. Force Majeure & Disclaimers

7.1 Contingencies
We have contingency plans for sudden illness or emergencies and may delegate work to trusted florists if needed. However, we are not liable for events beyond our reasonable control.

7.2 Refund Limit
Our liability in such cases is limited to a refund of monies received (excluding the booking fee).

 

 

8. Hired Items

8.1 Hire Terms
Any hired items remain the property of Flowers in French. You are responsible for their safe return in original condition, or a replacement charge will apply.

8.2 Hire Period
The hire period and return/collection arrangements will be agreed in advance (e.g the day after the event). Late returns or damages may incur further charges.

 

 

9. General

9.1 Agreement to Terms
By paying the booking fee, you agree to these Terms and Conditions.

9.2 Revisions
We reserve the right to update these Terms at any time. Updated versions will be shared with clients if relevant to a live booking.

​

9.3 Flower Longevity
We can only guarantee the freshness of flowers on the event date. If you wish to take flowers with you after your event we can not guarantee their quality or vase life. Please inform us in advance if you wish to repurpose flowers after the event. Flowers in French can bunch these up to provide to guests however this may incorporate a charge to cover staff costs.

 

10. Photography and marketing use

We may photograph your flowers on the day, and in the lead up to your event, and use these images for portfolio, website, and social media unless you request otherwise in writing.
